Onboarding Phases

Phase 1 — Pilot Design (Week 1)

Before any system is connected, Neoflo works with you to design a focused pilot around a single process. This scoping session sets the foundation for everything that follows.What happens in this phase:

Phase 2 — Go-Live (Weeks 2–4)

With the pilot design locked, Neoflo’s implementation team takes over. This phase is almost entirely handled by Neoflo — your team is on standby for sign-off, not heavy lifting.What happens in this phase:
  • API connections and integrations are configured with your systems (SAP, Oracle, NetSuite, Salesforce, Zendesk, and others)
  • Historical data is ingested to prime the AI model on your specific formats, vendors, and patterns
  • The first live process is activated in a monitored environment

  • Your team reviews a sample of outputs and provides feedback before full handover

What You’ll Need to Get Started

Before your first scoping session, gather the following. You don’t need everything perfectly organized — Neoflo’s team will work with you to fill in gaps during Phase 1.
  • System access: Credentials or an IT contact for your ERP, CRM, or relevant operational tools
  • Process documentation: SOPs, workflow diagrams, or even informal descriptions of how the process currently works
  • Sample inputs and outputs: Examples of documents, tickets, or transactions the process handles — real examples are more useful than templates
  • A process owner: One internal stakeholder who understands the process and can answer questions during scoping (2–4 hours of availability in Week 1)
  • Success criteria: A rough sense of what improvement looks like for you — cost, speed, headcount, or accuracy

Deployment Options

Neoflo supports two deployment models, both of which are fully managed:
  • Managed Cloud: Neoflo hosts and operates all infrastructure. Fastest to deploy, no internal IT involvement required beyond API authorization.
  • Customer VPC: Neoflo deploys within your existing cloud environment (AWS, Azure, or GCP). Preferred for organizations with strict data residency or security requirements.
Both options are covered under Neoflo’s SOC 2 Type II, ISO 27001, GDPR, and CCPA compliance certifications.
