# Match a 51 or 53 series invoice

> Check an invoice against its purchase order and goods receipt, clear anything that doesn't agree, and send it on to posting.

## How matching works for 51 and 53

A PO number that starts with **51** is a standard non-trade purchase order. One that starts with **53** is used for asset purchases. Neoflo reads the first two digits and runs the same three-way match on both: the invoice, the purchase order (PO) and the goods receipt (GR) have to agree. For 52 and 54, see [Match a 52 or 54 series invoice](https://docs.neoflo.ai/process/match-52-54.md).

It makes two comparisons, one on each tab.

| Tab | On the invoice | Compared with |
| - | - | - |
| **Invoice Details** | Company name, vendor and currency | The PO |
| **Line Items** | Each line's quantity, unit price and line total | The GR lines |

## Rules for 51 and 53 invoices

| When | Neoflo |
| - | - |
| The invoice is lower than the GR | Lets it through. SAP posts the invoice amount and reverses the difference on its own. |
| The invoice bills part of the PO | Lets it through when the GR covers at least the invoice amount. |
| The invoice is higher than the GR, beyond the tolerance | Blocks it. |
| There is no GR in SAP | Blocks it. This can't be overridden. |
| The same invoice number, vendor and legal entity are already in Neoflo | Stops it before any other check runs. |

The tolerance covers rounding only. It isn't a purchasing variance, and it doesn't stretch to cover a short GR. The variance bar on the **Line Items** tab shows the value that applies to your entity.

### Example: an invoice below its GR

| | Amount |
| - | -: |
| PO and GR | SGD 632 |
| Invoice | SGD 579 |
| Difference | SGD 53 |

A GR always carries the full amount of its PO line, and requesters can't edit it down to what the vendor billed. So Neoflo lets this invoice through. At posting, SAP receives SGD 579 and reverses the SGD 53 on its own. You don't adjust anything.

Had the invoice been SGD 700, Neoflo would block it: the GR covers only SGD 632.

## Match the invoice

> [!NOTE]
>
> **Before you begin**
>
> * The invoice's **Status** is **Matching**. To open it, select **Review** on its row on the **Invoice Dashboard**.
> * The PO number starts with 51 or 53.
> * The GR is posted in SAP.

**1. On the Matching screen, select the Invoice Details tab.**

Each row shows a field, the value on the invoice, and the value on the **PO / GRN Document**.

**2. Work through every flagged row.**

* **A required field was read wrong.** Select the back arrow at the top left until you reach **Invoice Extraction**, correct the field, and confirm again. Matching runs again from the start.
* **The company or vendor name is the same business, written differently.** Select the check mark beside the invoice value to acknowledge it. After three acknowledgments for that vendor, Neoflo accepts the spelling on its own.
* **An optional field is wrong.** Edit it on this tab.

**3. Check for the green banner "All mandatory fields are complete. You're good to go!"**

Matching, on the Invoice Details tab. PT. SECOM INDONESIA and PT Secom Indonesia are the same business, so the vendor row was acknowledged.

**4. Select the Line Items tab.**

The invoice shows under **INVOICE** on the left, as one line: **Total of invoice**. The GR lines are under **GRN** on the right.

**5. Select the check box for each GR line this invoice bills. A selected line turns green.**

An invoice often bills several GR lines. Their quantities and amounts add up on the **GRN** side of the bar.

**6. Read the bar at the bottom of the tab. It shows the invoice total, the GR total, the Tolerance and the VARIANCE.**

**Balanced** means the totals agree within the tolerance. The tolerance is in your entity's currency: for a Malaysian 51 series invoice, for example, the bar shows **Tolerance: ±RM4.6**.

![The Line Items tab for a 51 series invoice. The invoice shows as one line, Total of invoice, for 1,000 units and MYR 1,456. Three GR lines are selected on the right, for 200, 300 and 500 units. The bar shows both totals at MYR 1,456, a tolerance of plus or minus RM4.6, and a Balanced variance](https://mintcdn.com/neofloai/OmgDmQ6pmg_EB0XY/images/line-items-51.png?fit=max\&auto=format\&n=OmgDmQ6pmg_EB0XY\&q=85\&s=6fe0b5674c43dae3986c00d37331b1cb)

Line Items for a 51 series invoice. The three selected GR lines add up to the invoice: 200, 300 and 500 boxes make 1,000, and MYR 402, 339 and 715 make MYR 1,456.

**7. Select Next.**

> [!NOTE]
>
> **What happens next**
>
> The invoice moves to **ERP Posting**. Continue with [Post an invoice to SAP](https://docs.neoflo.ai/process/post-to-sap.md).

## If the invoice is blocked

There's no **Reject** button on **Matching**. To reject, select the back arrow at the top left until you reach **Invoice Extraction**. See [Reject or resend an invoice](https://docs.neoflo.ai/process/reject-and-resend.md).

| What you see | What it means | What to do |
| - | - | - |
| No GR for the PO | The goods or service haven't been received in SAP. | Ask the requester to post the GR. Once it's posted, go back to **Invoice Extraction**, re-enter the GR number in **GR/SES Number**, and select **Confirm Extraction**. Neoflo fetches the GR again. |
| Invoice higher than the GR | The invoice bills more than was received. | Ask the requester to update the GR, or reject the invoice. |
| Duplicate invoice | This invoice is already in Neoflo. | Reject it with the reason **Duplicate Invoice**. |
| Company or vendor name doesn't match the PO | The name on the invoice differs from the name on the PO. | If it's the same business, acknowledge the row. If it isn't, reject the invoice and ask the requester to correct the PO. |
