# Sign In, Navigation & People

Sign in to the Neoflo Invoice Processing platform, explore every part of its navigation, and manage roles and user access.

### Signing In

Head to the platform URL in your browser. First stop, the **Welcome to Neoflo** page.

{% stepper %}
{% step %}

#### **Choose how you sign in.**

Use **Continue with Google** for your company Google account, or **Continue with Email** to sign in or set one up with your work email and password.
{% endstep %}

{% step %}

#### **Land on your dashboard.**

You're taken straight to the **Invoice Dashboard** for your default workspace, right where the work happens.
{% endstep %}
{% endstepper %}

### Navigating The Platform

The dark panel on the left is your home base. It stays put no matter where you are in the platform, the same structure, top to bottom, in every workspace.

<figure><img src="https://1217411592-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FgsLN5wIf4V78YgAzUfqh%2Fuploads%2FA2YPpH2dXlqFBXI2fpdI%2Fimage.png?alt=media&amp;token=02715ba0-69c0-4a9d-828e-b05b5c45946e" alt=""><figcaption></figcaption></figure>

**The six destinations below it:**

<table><thead><tr><th width="162.56640625">Destination</th><th width="614.71875">What it's for</th></tr></thead><tbody><tr><td><strong>Dashboard</strong></td><td>Every invoice you have access to: incoming, in progress, or closed.</td></tr><tr><td><strong>Memory</strong></td><td>The running list of field corrections the platform has learned over time.</td></tr><tr><td><strong>Reporting</strong></td><td>Volume, SLAs, and stage-by-stage health, all in one view.</td></tr><tr><td><strong>People</strong></td><td>Who has access to this workspace, and what they're allowed to do.</td></tr><tr><td><strong>Documentation</strong></td><td>This guide, one click away, no separate tab needed.</td></tr><tr><td><strong>Report Issue</strong></td><td>Flag something wrong straight to the team, screenshot optional.</td></tr></tbody></table>

**Your name and role.** Sits at the very bottom of the panel (for example, Workspace Admin), so you always know who you're signed in as and what you can touch.

### Roles & Permissions

Every user holds one role per workspace.

| Role                | Scope                    | Typical example              |
| ------------------- | ------------------------ | ---------------------------- |
| **Org Admin** | Across the entire tenant | Head of AP or IT Admin |
| **Workspace Admin** | A single workspace       | AP Lead                      |
| **Member**          | A single workspace       | Processes and posts invoices |

| Action                                                   | Org Admin | Workspace Admin | Member |
| -------------------------------------------------------- | --------- | --------------- | ------ |
| Invite a new user to the tenant                          | ✅         | ❌               | ❌      |
| Assign an existing member to a workspace                 | ✅         | ✅               | ❌      |

| Remove a user from a workspace                           | ✅         | ✅               | ❌      |
| Configure workspace settings (rules, tolerances, fields) | ✅         | ✅               | ❌      |
| Edit and process invoices                                | ✅         | ✅               | ✅      |
| Deactivate or reactivate a user                          | ✅         | ❌               | ❌      |
| Delete a user                                            | ✅         | ❌               | ❌      |

{% hint style="info" %}
Org Admins automatically get Workspace Admin rights on every workspace in their tenant. Workspace Admins can't invite brand new users into the tenant, they can only assign existing tenant members to their own workspace. {% endhint %}
{% endhint %}

### People

The People page is where admins keep track of who's in, who's out, and what everyone's allowed to do. Every row lays out a user's name and email, the workspaces and roles they hold, when they last showed up, and whether they're active or deactivated.

* **Search Users:** find a user by name or email.
* **Filters:** narrow the list by role, status, or workspace.

<figure><img src="https://1217411592-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FgsLN5wIf4V78YgAzUfqh%2Fuploads%2FnPmk3G830V9hV6kL3wlM%2Fimage.png?alt=media&amp;token=04c96ef9-bf58-458e-8d32-1fd749d80c58" alt=""><figcaption></figcaption></figure>

#### Inviting Users

Only Org Admins can invite new people into the tenant. Workspace Admins can add existing tenant members to their own workspace, but can't bring in new emails.

<figure><img src="https://1217411592-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FgsLN5wIf4V78YgAzUfqh%2Fuploads%2FsqNHRUlbpB2ym1wsIQiO%2Fimage.png?alt=media&amp;token=1f8de936-0ba8-417d-a371-281de3a8f0a7" alt=""><figcaption></figcaption></figure>

1. **Open Invite users.** From **People**, Org Admins only.
2. **Add emails.** One or more, bulk invites supported.
3. **Set workspace and role.** Choose the workspace(s) and assign Workspace Admin or Member.
4. **Send.** The invite expires in 7 days and works once.

{% endstep %}

{% step %}

#### **Send.**

{% endstep %}
{% endstepper %}

{% hint style="info" %}
An email already tied to another tenant is blocked. An email tied to a deactivated user prompts reactivation instead of a new invite. {% endhint %}
{% endhint %}

#### Managing Existing Users

Deactivating a user is instant and fully reversible, they're logged out immediately and blocked from signing back in until reactivated. Deleting is permanent, the account and its data are gone for good, and bringing that person back means sending a fresh invite.

<figure><img src="https://1217411592-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FgsLN5wIf4V78YgAzUfqh%2Fuploads%2FhPpRjiAUA69vTOqWjnAy%2Fimage.png?alt=media&amp;token=a22a33de-41d1-48e5-8d2a-401ed727537a" alt=""><figcaption></figcaption></figure>

* **Edit:** change a user's role or workspace access.
* **Deactivate:** revokes access immediately and logs the user out. Fully reversible.
* **Reactivate:** restores access instantly.
* **Delete:** permanent, can't be undone.

{% hint style="info" %}
The last remaining Org Admin in a tenant can't be deactivated or deleted.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.neoflo.ai/invoice-processing/sign-in-navigation-and-people.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
